An ergonomic workplace fits work to people as far as reasonably possible. It combines furniture, equipment, layout, tasks and work patterns. Buying a product labelled “ergonomic” does not automatically create a suitable workstation.

Begin with the user and task

Support movement and variation
Ergonomics is not one perfect posture held all day. Encourage changes in position and task, short movement breaks and the use of different settings when appropriate.
Sit-stand desks can support variation, but standing continuously is not the objective. Introduce the change gradually and ensure both seated and standing setups are suitable.
Manage lighting and glare
Position screens to reduce reflections from windows and strong light sources. Provide sufficient task lighting without creating glare. Blinds or adjustable lighting may be necessary where daylight changes during the day.

Consider acoustics and concentration

Shared desks require a consistent reset process. Provide simple adjustment instructions and make controls easy to identify. Standardised equipment reduces setup time.
Offer a route for employees who need dedicated equipment or settings. A fully flexible seating policy should not prevent reasonable individual adjustments.
Use a workstation assessment process
A practical assessment reviews the chair, desk, screen, keyboard, mouse, environment and working habits. It should identify action owners and follow up unresolved issues.

Procure ergonomics as a system

Review after installation
Observe how workstations are actually used. Look for chairs that cannot fit under desks, monitors placed to one side, controls users do not understand or accessories added as workarounds.
